Summary of Position:

The Development Coordinator is a critical member of the Development team, reporting directly to the Chief Strategy and Development Officer (CSDO) and providing administrative support across the Development Leadership team. The ideal individual will have the ability to exercise good judgment and professionalism in a variety of situations, with strong written and verbal communication, administrative, organizational and people skills, attention to detail, and the ability to balance multiple priorities. The individual must have the ability to work independently on projects, from conception to completion, and work under pressure to handle a wide variety of activities and confidential matters with discretion. The ideal candidate will also demonstrate interest in learning about development and donor relations, with the opportunity to evolve into a frontline role over time.

Essential Duties & Responsibilities:

Supervision Exercised:  No supervisory duties required.   

  • Coordinate a wide range of special projects for the Development Leadership team, which may include the planning and coordination of presentations, campaigns, mailings, and events;
  • Support ongoing Donor Relations correspondence such as thank you notes/calls, follow-up notes, personalized gift acknowledgments, and invitations to major donors;
  • Assist with memorial giving questions/inquiries;
  • Assist with Focused Cultivation Events, including managing invitations/RSVPs, event planning logistics, and day-of execution;
  • Using our fundraising database (Salesforce), review and proofread tax acknowledgement letters provided by Development Operations;
  • Conduct prospect research as directed by the Development Leadership team;
  • Maintain Salesforce records (such as contact reports, proposal data, and event attendance) and provide accurate and timely reports as requested;
  • Assist with preparing stewardship reports and a variety of donor communication pieces;
  • Assist with the Board Development Committee, including planning meetings, compiling agendas, coordinating logistics and materials, and taking meeting minutes;
  • Coordinate and manage routine administrative duties for the Development Leadership Team, as requested;
  • Serve as first point of contact for the Development Office central phone/email, demonstrating professionalism, courtesy and customer service, and triaging requests appropriately;
  • Other duties as assigned.

Education & Experience:

  • Bachelor’s degree or equivalent prior work experience required.
  • Some development, fundraising, or related experience preferred (inclusive of internship experience).

Required Skills, Knowledge, & Abilities:

  • Strong customer service and interpersonal communication skills, demonstrating diplomacy, tact, and professionalism;
  • Proven ability to work independently and manage multiple projects and activities simultaneously; 
  • Ability to maintain confidentiality of records and information;
  • Strong attention to detail, with a commitment to high quality work;
  • Strong experience with Microsoft Office applications (Word, Excel, PowerPoint, etc.) and databases;
  • Highly detail-oriented, ability to multitask and manage time well;
  • Team player and quick learner who focuses on high productivity and results;
  • Professional, friendly, and enthusiastic demeanor;
  • Self-starter with a proactive attitude who can anticipate needs and has a curious mindset.

  • Location: Remote, primary work location must be in the Greater Boston area. Occasional on-site visits by car to NBTS headquarters in the Boston area required.
  • This is a full-time exempt position. Normal hours are 9:00am to 5:00pm EST, Monday through Friday.
  • Role is largely sedentary and requires sitting or standing in a stationary position for extended periods of time. 
  • This role frequently involves communicating on the phone and operating a computer for at least 70% of the work day.
